Start by separating transaction processing from financial authority

Bookkeeping, invoice coding, accounts payable preparation, accounts receivable follow-up, reconciliations, management-report preparation and document collection can be suitable for offshore delivery when the workflow is defined. Final payment release, bank authority, tax positions, write-offs and material accounting judgments should remain under named buyer controls unless a regulated professional relationship clearly covers them.

The first sourcing decision is therefore not simply which tasks can be done remotely. It is which tasks can be executed without giving the provider unnecessary authority over cash, banking credentials or financial decisions.

Document the monthly close

A strong finance process has a calendar: cut-off dates, reconciliation deadlines, review owners, exception rules and the reports that must be complete before the books close. If the current process relies on one employee remembering what to do, outsourcing will expose that weakness quickly.

Provide written chart-of-accounts rules, examples of common transactions and escalation instructions for unusual items. Require reconciliations to show supporting evidence rather than only a final balance.

Build segregation of duties into access

The same offshore user should not be able to create a vendor, change its banking details, approve an invoice and release payment. Use role-based permissions and buyer approval for sensitive changes. Where possible, payment execution should remain inside a buyer-controlled bank workflow with multi-factor authentication.

Measure accuracy, aging and exception quality

Useful metrics include reconciliation completion, invoice cycle time, unapplied cash, overdue receivables, duplicate-payment prevention, error rates and the age of unresolved exceptions. Volume alone can encourage fast processing without enough judgment.

Decide how tax and statutory work is handled

Offshore teams can prepare working papers and collect documentation, but buyers should confirm which activities require a locally qualified accountant, tax adviser or other regulated professional in the relevant jurisdiction. The outsourcing provider should be clear about whether it is doing processing, advisory work or both.

Protect financial and employee data

Payroll, bank records, customer balances and supplier information can be highly sensitive. Minimize exported data, restrict downloads where practical, log access and define retention and deletion. If the buyer is Canadian, cross-border privacy obligations still need to be understood and managed.

A sensible first finance pilot

Start with one bounded process such as monthly bank reconciliation or accounts-payable preparation for a defined business unit. Measure accuracy, documentation quality, exception handling and communication for one or two cycles before moving more of the finance operation.
